Ways to Give: Event Guidelines

As a charitable 501(c)(3) tax-exempt organization, the Amputee Coalition of America complies with a range of federal and state requirements, as well as general and accepted accounting standards, that dictate our policies and procedures regarding fundraising events and activities to benefit the Amputee Coalition. The following guidelines are intended to facilitate your compliance with our practices.

To secure and retain approval from the Amputee Coalition, your event must comply with all federal, state and local laws governing charitable fundraising, gift reporting and special events, including but not limited to federal and state laws regarding the sale, distribution and consumption of alcohol. Until written approval is received, you should not solicit contributions for your event nor use the Amputee Coalition of America logo or name for any purpose.

 

Qualifications
  • Applications are due at least 60 days prior to the event.
  • Applications may take up to 30 days for processing.
  • Until written permission is received, contributions should not be solicited and the Amputee Coalition of America name may not be used for any purpose.
Donations Made Directly to the Amputee Coalition of America
  • In accordance with tax law, the Amputee Coalition of America will appropriately thank and provide tax documentation for monetary gifts made directly to the Amputee Coalition of America.
  • The Amputee Coalition requires the person or organization holding the event to supply the following information with any checks or cash:
  • The name and address of the donor
  • If a cash contribution, the amount contributed
  • The date of the contribution
  • A description of any goods or services provided in exchange for the contribution
Donations Made to an External Organization or Individual
  • The only gifts the Amputee Coalition can legally provide a receipt for are those made payable to the Amputee Coalition of America. The Amputee Coalition will not provide tax receipts for gifts made to another entity.
  • It will be the responsibility of the person or organization holding the event to thank donors who provide in-kind gifts or services to benefit the event. The Amputee Coalition will not be able to provide receipts for in-kind gifts.
Promotional Materials
  • The logo of the Amputee Coalition of America and its program marks are registered trademarks and cannot be reproduced without written permission from the Amputee Coalition.
  • The Amputee Coalition reserves the right to review all promotional materials.
  • Event materials should state that proceeds will benefit the Amputee Coalition of America and may designate a specific program or activity at the Amputee Coalition. For example, do not call an event the Amputee Coalition Youth Camp Walk-a-Thon. Rather, promote it as the Walk-a-Thon to benefit the Amputee Coalition Youth Camp.
  • Events should promote an appropriate image for the Amputee Coalition. If a logo is misused, if language in a promotion is deemed inappropriate, or if some other aspect of the event promotion is considered potentially damaging to the image of the Amputee Coalition, the Amputee Coalition may terminate this agreement at any time and the event sponsor shall remove Amputee Coalition logos immediately.
Sponsorships
  • The Amputee Coalition reserves the right to review sponsorship proposals and packages for appropriate use of the Amputee Coalition of America names, as well as language regarding charitable deductions.
  • When approaching businesses and corporations for assistance with events, please be aware that many local organizations are already involved in fundraising for the Amputee Coalition and may not wish to make additional donations. To find out if a particular business has been approached for support, please call the Amputee Coalition at 888/267-5669.
Insurance/Permits/Licenses
  • The event organizer or host should obtain all necessary insurance, permits and licenses.
Raffles/Drawings
  • If you wish to conduct a raffle, please refer to the Web site of the appropriate state Gambling Control Board.
Volunteer Assistance
  • It will be the responsibility of the event sponsors to recruit, train and thank any volunteers needed for the event.
Event Expenses
  • Event sponsors will be liable for all event expenses. In the event expenses exceed revenue, the Amputee Coalition will not be liable for the expenses.
Time Requirement for Delivery of Charitable Contribution
  • Within 60 days after the last day of the fundraising event, please submit the event’s net proceeds/donations to the Amputee Coalition of America.
Indemnity Clause
  • The event sponsors or hosts agree to indemnify and hold harmless the Amputee Coalition of America from all claims and liabilities that may arise from any acts or omissions of its agents, volunteers or employees, or from any claim by it or anyone else relating to the quality, performance or failure to perform during the specified time period of the event.
